Overview

When disputing a deduction, remember that you are essentially going to court to prove why the deduction was invalid and should be paid back. Just like in court, you need to present sufficient evidence to prove your case.

Documents needed by Deduction Types:

Code Types

Proof Documents

Shortage Codes

  • Signed POD or BOL

  • Copy of Invoice (optional)

  • Packing List (optional)

Allowance Codes

  • Backup requested from Ticket Management in Vendor Inquiry outlining discrepant amount

  • Additional support - agreements, email, etc.

Pricing Codes

  • Copy of Invoice

  • Pricing Agreements or other pricing change documents

Freight Codes

  • Any backup documentation - agreements, email, etc.

Compliance Codes

  • Copy of original fine(s) from Vendor Compliance System

  • Any backup documentation - shipping docs, ASNs, email, etc.

File Size and Type Restrictions:

Up to 5 documents can be submitted with each dispute. Only files between 3KB and 3MB can be submitted with disputes. Most file types are accepted (.xls, .xlsx, .doc, .docx, .pdf, .jpeg, and .tiff).
