Using SP to Bill Walmart for Overages

  1. Open the Overages page on the left side of the SupplyPike app, underneath the Walmart section.

  2. Select the POs in the New tab you wish to bill for, and click Export, Billing Report.

  3. In this report, you'll see the POs on which we identified billable overages, including the individual items and their quantities and prices to bill for.

  4. To bill Walmart, you will generate and send invoices via EDI the same way you send them a regular invoice, generating information onto the invoice from the SupplyPike Billing Report.

  5. Once the invoices have been sent, SupplyPike will monitor for payments or deductions given on these new overage invoices, and update the status on the Overage PO to allow you to quickly identify which POs were fully or partially paid back or fully deducted. Those POs will be filterable and exportable in the Resolved and All buckets.

Solutions to translate the SupplyPike Overage Report into invoices sent to Walmart

There are many different accounting and ERP systems and methods to create invoices for Walmart, so your specific mileage may vary on the steps you need to take to bill Walmart.

Remember that these invoices can be created and sent just like any other invoice.

Some suppliers that SupplyPike has worked with have been able to automatically create a batch of invoices from the Excel-based Overages report, matching up columns to invoice fields.

You may be in a situation where bulk import is not an option, and if so, that would mean you might have to create these invoices one at a time in order to transmit to Walmart and get paid.

For these reasons, many suppliers are doing this process on a quarterly or a monthly basis, depending on volume, so this is not a frequent activity requiring a lot of time.
