Overage Billable Amount Accuracy
SupplyPike calculates a Billable Amount for overages to ensure only unpaid overage goods are invoiced. This calculation accounts for cases where Walmart applies overage funds from one PO to pay back shortage deductions on a different PO.
When overage funds have already been used by Walmart, the Billable Amount is reduced accordingly to avoid invoicing amounts that have already been applied elsewhere.
Why Billable Amounts May Differ from Overage Amounts
Walmart may apply overage funds from one PO to offset a shortage deduction on another PO. When this occurs, the original overage amount may no longer be fully available to bill.
β
This activity can result in a Billable Amount that is lower than the original Overage Amount.
How Walmart Applies Overage Funds to Other POs
Walmart may reference an Overage PO number when issuing a shortage payback for a different PO.
β
This can be identified in the check line of a shortage payback, where the referenced PO number differs from the invoice PO number receiving the payback.
How This Appears in SupplyPike
Billable Amount adjustments
If Walmart has used overage funds from a PO to pay back another PO:
The Billable Amount for that overage PO is reduced
Only funds not already used by Walmart remain billable
If only a portion of the overage amount is applied to another PO, the remaining portion continues to appear in the Billable Amount.
The Billable Amount is displayed next to the Overage Amount for reference.
Ongoing updates
The Billable Amount updates nightly as new shortage paybacks are detected. The Billable Amount is also reduced if an overage invoice is detected against the PO.
